Job Description:
We are currently recruiting for a Faculty Assistant to work for one our prestigious business school's, based near Baker Street.
 
Job Description:
 

This role is to providesecretarial and administrative support in all aspects of research and teachingto five faculty members, whilst working closely with members of theadministrative team, within and outside the department.

 
Main Duties & Responsibilities:
 

Dealing with all ESS applications – processing applications and informingstudents whether their applications have been successful

 
Judges – invitations, plan and organise the judging day schedule, put togetherjudges packs, provide judges with relevant information, organise judgeslunches, collate judges scores and record on spread sheet, name badges
 

Being on hand whilst the course is running for ad hoc duties – joining inactivities, ensuring events run smoothly, recording sessions to DVD

Planning and ensuring the smooth running of special events -  alumni night, meet your mentor evening, judges lunches, final celebration BBQ

Administration of all courses undertaken by faculty members -, gifts, updatingcourse material online, ordering copyright cases, catering, AV requirements.

 

Entering student grades on excel sheets

 

Photocopying and general administrative duties

 

Preparing teaching materials using Word, Excel and PowerPoint.

 

Diary management

 

Organising events

 

Conducting basic research

 

Organising meetings and travel arrangements for faculty members and visitors.

 

Responding to teaching/student enquiries in a professional manner via telephoneor face to face

 

Regular liaison with Central Services Programme Management Department

 

Interactionwith Students, visitors and other members of LBS community

 

Processing expenses for Faculty members and visitors to the School

 

Using the online invoicing system

 
Budget – oversee the course budget, ensure all externals pay fees, puttinginvoices through procurement

Working on ad hoc projects for Faculty Members/with colleagues.

Any other duties as assigned by your line manager.
 
Knowledge / Qualifaticaion required:

Good general education at A level or above or other relevant qualifications/experience

A high standard of English language and mathematics
 
Skills/ Experience required:
 

Secretarial background and familiarity with office organisation and administration

Computer literacy: excellent knowledge of MS Office applications including Word, Excel and PowerPoint

Excellent accuracy and attention to detail

Skilled in handling a busy workload, prioritising multiple deadlines and multi-tasking

Proven organisational abilities with excellent forward planning and time management skills

Excellent interpersonal skills and experience of working in an academic environment

High level English language skills and ability to draft correspondence

Hard-working, conscientious and efficient

Friendly, enthusiastic, flexible and professional

Ability to use initiative and be proactive

Able to work well independently and also within a team

Excellent Communication skills & professional telephone manner

Working hours: 35 hours per work
 
Pay rate: £13.79 per hour plus holiday pay
