We are currently recruiting for an Halls of Residence Admin Assistant to work within one of our Halls, based near Russell Square.
This role is to start ASAP. Please make sure you are available to interview and start working immediately.
To assist in the day to day administration of the relevant Hall/s including supporting the Assistant Hall Manager with the seasonal changes of client from residents departures, summer B&B and the new academic year arrivals. The administrator providing an efficient, effective and customer-focused service to the customer (both internal and external).
Assist in the day to day administration of the relevant Hall/s.
Ensure that all telephone, email, postal and in person queries are answered quickly and professionally.
Compose and distribute communications to residents through various forms of media.
Ensure that the highest standard of customer service is provided to students, guests and visitors.
Seamlessly adapt between term time and vacation operations and the differing service level agreements they entail.
Assist with the checking of rooms for damage, prohibited items, unregistered overnight guests and for the purposes of the return of deposit at the end of the year.
Liaise with other departments within the Division to ensure that poor communication is not a factor in any service failures.
Closely liaise with other Hall staff to ensure a consistent and ‘best-practice’ approach.
Identify any areas of concern to the Hall Manager and Assistant Hall Manager.
Any other duties consistent with both the grade and scope of the post.
Any other duties reasonably required of the post holder by the Hall Manager and Assistant Hall Manager following consultation.
Demonstrable experience in a role requiring the administration of activity over a number of different strands.
Relevant previous experience in a similar working environment, ideally in a residential setting.
Good IT skills, including knowledge of Microsoft Office, internet, word processing, spreadsheets and databases.
There are no specific educational requirements, however a good standard of numeracy and literacy is necessary to address the financial and communication aspects of the role.
Confident and effective in working under own initiative; the post holder must be equally effective as a team player.
Personable, with a mature, professional and patient manner, the post holder must manifest a genuine interest in Hall affairs and concern for the general wellbeing of student/guests/residents.
Honesty and integrity, and the ability to deal sympathetically with confidential information.
The post holder must have the ability to think on their feet, remaining unflappable in the face of a crisis, and able to apply problem-solving skills quickly and effectively to resolve difficulties.
Rate of pay is £12.48 per hour plus holiday pay.
Working Monday to Friday, 9.30am till 5.30pm, 35 hours per week with a 1 hour unpaid lunch break.
You must be willing to work some evenings and weekends and notice will be provided to you in advance for any out of hours needs.
